Antique Fly-in And Open House

Hello, as you are all aware, on the 22nd of June (11 days from the date of this posting), in partnership with the Great War Flying Museum, we are hosting our 2024 Antique Aircraft Fly-in and Open House. It promises to be a fun day to which the neighbouring community, as well as visiting pilots, will be invited to see what we're all about. A rain day is scheduled for the 23rd.

Please peruse the schedule below for your name, and let me know if it doesn't work for you, or if I've missed you entirely and you can help. It is also available as a Google spreadsheet at:

The event officially opens at 10AM, although much setup will be needed on Friday evening. On Friday, rope barriers, courtesy of the Museum, will be set up to mark the flight line and cordon off the fuel pump. A few tents will be erected as well, and there may be some food vendors who would like to either drop stuff off or set something up the day before. We'll also need to make sure the PA system is working. Don Williams is taking care of that. Signage needs to be placed around the property as well, marking washrooms (it's not immediately obvious that they are in fact bathrooms), private areas, parking directions, etc.

More importantly, runways, taxiways, and aircraft parking will be marked with sprinkler flags (the little orange ones we use to mark new trees), although this can be done several days in advance.

At 8:30 (ish), a continental breakfast (croissants, fruit, bagels, muffins, that kind of thing) will be available in the clubhouse, to get us all together for a brief huddle before it all starts. Tracey Brake and Kris Briere have volunteered both for that, and providing a lunch of soup & sandwiches in the clubhouse. We expect most visiting aircraft, including the Museum's warbirds, to arrive before the event starts. They will need direction on where to park (see attached map).

The Museum will be flying demonstration flights at 12:00PM and at 1:45PM. At 2:00PM, two of the Museum's aircraft will depart our airfield, scheduled for a flyover in Listowel, to return at 15:00. These two demonstration flights will divide the day into three "shifts": 10:00AM→12:00PM, 12:15PM→1:45PM, and 2:00PM→4:00PM.

I've been able to confirm most of the people I've slotted in for various roles, but not quite all yet. Please comment here if either you are unable to help according to this schedule, or if you'll be at the club to help this day and I've forgotten you.

Please make any comments, suggestions, complaints, and insults here. The schedule will also be posted above in the announcements section, and updated as we finalize things.

A few notes:
  • There is both an Air Boss and a Line Chief position. It the Air Boss's responsibility to keep traffic separated (by sending glider intros one way and power intros the other, for example) and to determine safe landing/takeoff times for itinerant aircraft. The Line Chief is responsible for making sure that our flight line operations run smoothly, keeping guests appraised of how long the wait is (if any), and dispatching golf carts for retrieves. In short, the Air Boss looks up and the Line Chief looks down.
  • John Brake has volunteered as a flight recorder, backed up by Sharon O'Leary as an "Intro host". The intro host greets visitors at the flight line, answers any questions they have, and assists the pilot in making sure our guests are strapped in correctly. They can switch these roles out between them as they see fit.
  • I've slotted Alex Karmanov, Dave Key, and Ken Ashworth on the golf cart retrieves all day. It's highly unlikely we'll need all three carts all day, so it should be easy enough for them to take breaks as needed. John Craig, backed up by Mark Voysey, will have a cart not only to ferry guests back and forth from the flight line, but also if necessary to provide first aid.
  • I've tried to divide up flight time as fairly as possible while not burning out any of our intro pilots. Please, send me suggestions if you think this can be improved.
  • Hugh Douglas and Keith Laidlaw will be our primary payment handlers. We are using a third party service, FrontDoor+, to handle cashless and advance payments. Hugh will making sure this runs smoothly and showing people how to use the system.
  • After lunch, Kris and Tracey are freed up, currently as spares. If either of you has something in mind you'd rather be doing, please let me know.

I don't see anyone listed for the position of hookup/wingrunner.

It is in the spreadsheet as an option that people could apply for but apparently didn't make it to the next stage.

I'll be at the club that day but it looks like I was a bit late with volunteering and didn't make the list.

Oh, you made the list. Just now. The online spreadsheet is read-only because if it isn't, I have no control at all; too many cooks in the kitchen.

You're right - I do need a wing runner position - and thank you for pointing that out. Can I slot you in for that?

I've taken a few suggestions and made some changes, notably the RRP and GAWK roster, the addition of Mike Collier on tow, and added a wing runner role.

Ryan, are you okay to run wings from 10 to 2?

30/12 will be closed and its south end used for parking. What is normally the members' parking lot will be set aside for oversized or handicap parking.

It will really help get parking sorted out if members use the general parking lot (30/12), and not the spot we normally use. It will demonstrate to the air cadets how we want it done as well as being an obvious indicator to our early guests as to where to park. And if members park in the regular spot, it may cause confusion among those guests.

So if you're not parking in the campground during the event, please use the general makeshift lot on 30/12.

(We did the napkin math today - we can park between 150 and 200 cars on the southernmost 300' of 30/12, and then another 75 to 100 in the member lot, if needed for overflow.)

Hi,
Are we still go for Saturday? If so, I'm planning to come up tonight to be ready to help out in the general dogsbody category. Is there any more info other than the above and the "shift schedule" post that I should be aware of?

We're still full steam ahead for Saturday at this juncture. The weather certainly looks iffy, but then again, it's partly sunny, partly cloudy, chance of rain, risk of thunderstorms... Just like every day all summer.

The Museum's aircraft will be coming Saturday, if not at 10am due to low ceilings, then when there is a break in the weather.

A 60% chance of rain is more than I'd like, but it will likely happen later in the day. And, although there are a lot of clouds in the forecast, the ECMWF model is forecasting the ceiling at 11,000 feet.

We won't fully be able to make the call untill tomorrow morning, but so far, it's still set for tomorrow
