2024 Fly-In And Open House, June 22nd-23rd (The Longest Day)
As many of you will know, we will host an Open Day again this year, where we hope for 100+ cars with a random number of occupants to visit us, to look at our aircraft on the ground, to watch/participate in intro flying, to watch 4 aircraft from the WW1 museum fly. Possibly several interesting aircraft to fly-in also.
This year it will happen on the 22nd of June, with a rain date set for the 23rd. This would have otherwise been The Longest Day. In a way, I hope to revive that tradition, in a new form.
We will need 30+ members (as a minimum) to sign up for an active role between 1000-1600 and ideally supporting activities before that (setting up, DI's, etc). If you have family who can help, please get them out. This is a perfect opportunity to share your flying passion with family members who don't otherwise see this part of our lives. Non flying family members will make great volunteers for crowd control, golf cart ferrying, parking control, and giving directions; there's lots for them to do.
The general idea is all members will participate, within their capabilities, throughout the event:
(a) there will be three glider operational shifts, possibly 1000-1145, 1200-1345, 1400-1600+
(b) there will be two WW1 operational shifts, possibly 1145-1200 and 1345-1400
(c) if a great interest/queue for intro's, possibly extend beyond 1600
(d) the intro aircraft will be primarily Twin Grob, DG500 (backed up by RRP/GAWK for special cases)
(e) intro pilots will do one glider shift and two other shifts (ground support)
(f) tow pilots (2 per shift) will do one tow shift, and two other shifts (either 2 ground shifts, or 1 ground and 1 intro flying)
Consequently, for each shift we will need:
2 tow pilots
3 intro pilots for club aircraft
2 syndicate pilots for RRP/GAWK
4 golf cart drivers
1 flight recorder
1 intro host
1 intro money/waiver taker
1 hook-up wing runner
2 money handlers at the the entrance on 5th line
2 parking attendants (to guide cars in the first 2 shifts, to guide cars out 3rd shift and beyond)
1 first aid responder (probably John Craig)
2 crowd control near the 2 hangars
3 crowd control to stop wandering past guide ropes etc. into active taxiways/runways
1 member dedicated to handling membership/other inquires (though potential a 2nd role for all members)
1 operational line-chief (probably Paul Moggach for 1st and 3rd shift)
1 non-operational chief (probably Ken Voort) to manage non operational issues/vendors/facilities etc.
3+ floaters, to "make nice with the guests", and to give others washroom/food breaks and to cover for signed on members who do not turn up
If the number of visitors is sparse, the above numbers are overkill. But we consider it more likely that these are the minimum necessary numbers.
Washroom support for the day will be provided by Denise (our cleaner);
I will be looking into food vendor support for guests (any guest who leaves because they're hungry isn't coming back)
Security in the form of 2 police related to members is hoped for.
The clubhouse/clubhouse washrooms will be for participating members only, food provided. We also hope to host a club dinner after the event at the campground for all who helped out
This will also be sent as an email to all members. Please reply either here or by email with any dates your are able to commit to, and specify note if you can make it out on only one of either the 22nd or the 23rd. I will be out to help and will see if my adult son is available to come and assist us as well. { former York pilot} If we get enough interest we can do a big BBQ down at the campground at the end of the day.
We will probably try and get about six local Air Cadets out to help us with cars and crowd control.
The WW1 { The Great War Flying Museum } has an event like this once a year in Brampton. It always turns into a fun Family day of participation in the event. We generally do a giant Buffet lunch for our Staff and Guests as well. A good day for Members and visitors as well.

I will also be out to help and will offer my PA (two or four speakers, etc.) as I did last summer, for use that day for announcements, music, and of course dancing with Dave B leading us off after the BBQ. I'd be happy to be one of the Intro Pilots but would be happy also to help where/when needed.

I am keeping up with this thread, but Dave's right. Sarah is maintaining a Google doc listing everyone who volunteers. Plus, emailing ysa.officemanager@gmail.com provides a lasting record of it.
Also, I forgot to mention, I'll need quite a few volunteers after the event to pick litter from the grounds - especially the runway. 20 or 30 of us walking line abreast the length of each runway. If garbage doesn't wind up getting blown into a canopy by propwash, it's going to wind up in Shaw's fields. We definitely need a cleanup team after the party's over.

Hi Ken, good chat this morning - 36 minutes. I spoke with 'Harley' at Long and McQuade (Bloor/Ossington - the one that I usually frequent and the one with typically the most 'stuff') and cables/connectors are dirt cheap - about a $1/cable (100' length) - so we likely could run a lot of cable to speakers out on the flight line or wherever. My only concern would be that they could be a 'trip hazzard,' as mentioned, unless well and duly marked (perhaps with orange cones or wrapped with yellow 'keep out' tape) 'if' they are in such a position to be walked over (likely.) The golf carts or the ice cream truck would not bother them. I would need to 'book' the cables about two weeks in advance and would therefore need to know the lenghts that we need. (I do have a lot of cable myself as well.) We wouldn't want to run them 'too' far as the longer the cable run the more opportunit there is for 'line loss' and/or amp concerns. (The speakon cable can/would connect with standard 1/4 (mic) cable so it'd be okay to run fairly long 'cable runs' keeping in mind the possible trip hazzards.) Feel free to call or text at anytime. Thank you everyone who has volunteered so far. We're shaping up to be far, far more prepared for this year's fly-in than last year's.
There's a few things I need the club to either borrow or rent. If any members have any of this, it will save quite a bit of headache and expense.
One more request for volunteers - I think it would be awesome to have popcorn and cotton candy at this event. It's easy enough to rent both machines for a very reasonable price, but either we need a member to staff them, or we need a vendor for it. If any members are willing and able to staff such a stand that would be amazing.
There's a few things I need the club to either borrow or rent. If any members have any of this, it will save quite a bit of headache and expense.
- Pop up tents. We have two I think, and Paul M has a mobile 10'X20' garage. We should have one at the gate and one at the flight line, as a bare minimum. I'd also like to have a few scattered around for visitors who are unprepared for the lack of shade.
- Folding tables
- Construction pylons - the big ones you see at highway construction sites
- Megaphones: I think we might have one? Don has offered us one but I'd like three or four. I don't want to rely solely on the PA system if something takes out the power
- VHF Radios
- Walkie-talkies
- Garbage cans: basic 35 gallon garbage cans aren't pricey and we can buy some, but I would prefer the nicer looking ones you find in city parks (which are pricey)
- Outdoor ashtrays: you know those "smoker poles"? Those. Statistically, 10% of our adult guests will be smokers. The field is almost completely free of cigarette butts and I'd like to keep it that way (as a smoker, trust me, these are more necessary than many people think they are)
- Garbage picker-upper-grabby things, whatever they're called. We'll need a cleanup detail after the event
